Staying safe online is a lot like locking your doors; you need to keep them secure. For your computers and apps, this means regular updates. Software developers are always finding and fixing weaknesses that hackers could use to break in. If you don't update, it's like leaving a window open for criminals.
REKOM IT makes sure all company devices are protected by automatically updating everything and using top-notch antivirus and patching software. This keeps your information safe and prevents anyone from misusing your devices. Please remember to reboot your device when asked.
Think of your password as the key to your digital life, it keeps your personal information safe. Just like you wouldn't use a flimsy lock on your front door, you shouldn't use a weak password. Hackers can guess simple ones in a seconds, but a strong one stops them cold.
To make yours super tough, REKOM policy states that your password must be at least 10 characters. Mix things up with capital and small letters, numbers, and symbols (like !@#$). Don't use common words, easy number sequences (like 12345) or anything personal like your birthday or name. A strong password is your best defense against online threats.
To keep your online accounts extra safe, think of Multi-Factor Authentication (MFA) as adding a second lock to your digital door. After you type in your password, MFA asks for another way to prove it's really you. This could be a quick tap on your phone, a code sent to your mobile or even your fingerprint. Many places you use daily, like your bank or social media, already use MFA because it's so effective. It means that even if someone figures out your password, they can't get into your REKOM account without that second step. It's a simple but powerful way to protect your information from unauthorised access.
MFA is a standard requirement on all REKOM Google accounts.
Imagine a hacker trying to trick you into giving them your personal details – that's what phishing is. It's when you get a fake email or message that looks real, trying to get you to click on a dodgy link or open a dangerous attachment. Always be on guard!
Carefully check who sent the email and look out for spelling mistakes or bad grammar; these are big red flags. If you don't recognise the sender or something feels off, never open attachments or click links. It's always best to be safe and double-check before you click. Always report suspicious activity to support@rekomgroup.com or use the Phish Alert button in Google Mail (browser and mobile app).
Using your personal phone or laptop for work might seem convenient, but it can actually put our company's valuable information at risk. Your personal devices often have apps or visit websites that aren't approved for work, creating easy entry points for cyber threats. If your personal device gets lost, stolen or hacked, sensitive company data could fall into the wrong hands. That's why it's crucial to always use secure, company-provided devices. These are set up with approved software to keep our data safe. Please never install extra apps without clear instructions from our IT team. It's all about keeping our shared information secure!
Imagine writing your company’s biggest secret on a public whiteboard; that's a bit like using a public AI tool. It might seem helpful, but you have no control over who sees that information. The AI might "learn" your confidential data, such as guest lists or unannounced project details and accidentally repeat it to another user outside of REKOM! For this reason, never paste sensitive company, guest or personal data into any public AI tool. Our data is too valuable to give away. Instead, the only safe option is to use our official, REKOM approved AI platform, Google Gemini.
One of the most simple precautions of all is, always secure your device. Do not leave your device unattended in public, even if it's just for a few moments to grab that coffee. If you leave your desk in the workplace or in a venue, always remember to lock your screen (Windows key + L or Control + Command + Q on a Mac) - it only takes a few seconds to do, but protects company data and prevents any unauthorised access.
Keeping REKOM systems and data secure is a team effort.
Contact support@rekomgroup.com with any questions, concerns or to report any suspicious IT activity, no matter how small.
Suspicious Emails: If you receive a phishing attempt, do not click, reply or open attachments. Instead, use the 'Phish Alert' anchor button in your Google Mail (available on browser and mobile app). This is the fastest way to alert our security team.
